Analysis
1. Analysis of three issues which are related to event facilities and event operations management
The organizers of a food event organized the event to demonstrate types of food in the event. The organizers also face some challenges in the event. The challenges are described below in detail
Deciding the right venue
Choosing the right venue or right place where the food event has occurred is important and challenging also. There are logical reasons for which this is challenging for the organizers of the event. The organizers of the event have to choose a place which is a well-connected place in the city. For this reason, the participants of the event can come quickly and do participate in the event. If the event’s location is not well connected, the participants do not want to participate in the event. The climate of the site also matters. The participants of the event like a good atmosphere to experience food in the event. The surroundings of the place which is selected for the food event also have an atmosphere or environment which supports fares, events in the region. Organizations use social media as a venue for an event (Garfield Tenzer, 2019)
Rising of cost during event planning
During the planning of an event, the organizers have to do various kinds of activities. Choosing a proper place for the event, make an agreement with the food organizations, the arrangement of decoration, arrangement for the participants of the event are some of the activities done by the organizers of a food event. In order to do these activities, a good amount of money is required, and due to this reason, the cost of event planning is rising. It is often found that the team member of the organizer travel in a private vehicle and consuming food at an inexpensive food station, which automatically increases the cost of event planning. The organization also calculates the insurance against fire in this event planning (Akashah, Baaki & Lee, 2017)
Tracking the process of event planning
Members of a project planning team have done their activities from different parts of the country or city. For this reason, the organizers of the event find it difficult to observe the activity of the members of the project. Sometimes it has also found that the members are attending the meeting which is arranged by the organizer to discuss problematic issues with the team members and due to this reason, the team leader cannot track the activities of the members. For this reason, the management fails to complete a certain work in time and also fails to maintain the standard of the work. Organizations also use data-driven tracking like an introduction of robots in their organization (Wang, 2020).
2. Monitoring and improving workplace relations to support overall organizational goals
As the employees do different activities in an organization, their work has to be monitored. The organizations do it for making better employees in the organization (Mbakulo, 2019). This monitoring is important to achieve the overall objective of an organization. By doing observation, the top management can rectify the mistakes of the staff. The relations between the employees of an organization which is called workplace relation, is also important to complete work effectively because many a time it is found that work is done by the contribution of every employee of the team, which is assigned to do the task. That time the interpersonal relationship plays a major role in the organization. If the interpersonal relationship is good and healthy, the work can be accomplished in a quick manner and the whole team finds difficulty to complete the work effectively if the relationship among the members of the team is not so good. A similar thing has also happened in the Great British Food and Drink Festival. Organizations introduce workplace health and wellness program in their organization (Chung, Gorm, Shklovski & Munson,2017)
The organizer of the event or management of an organization can observe workplace relations in different ways. They can collect the data by doing surveys in the organization. After collecting the data, the top management of a company has to analyze those data to know the strength of the workplace relations between the worker in an organization.
An organization can improve workplace relations in several ways in an organization. The ways are
Developing the skill of people is a good way to maintain workplace relations among the employees of an organization. If an employee who is good at any function, the employee may provide training to the other employee in the organization. By doing it, the relationship between the employees is improved, and the overall efficiency of a team is also improving.
Doing appreciation is also a good way to maintain workplace relations in a certain workplace. If an employee does appreciate the work of another employee, the employee whose work is appreciated certainly gets motivated and encouraged to do the work effectively and efficiently.
The top management has to advise the employees not to do the gossip in the organization because gossip generates a negative impression about a certain event or employee in an organization. Organizations also look into workplace safety issues (Curcuruto, Parker & Griffin, 2019).
In the Great British Food and Drink Festival, the organizer takes these steps to improve the relationship of the employees of the event management team.
3. Planning and organizing workflow, scheduling of work, provide training, and delegating to staff
Planning and organizing workflow
In order to complete any task in an organization, the management of the organization has to perform required activities prior to an event. These activities will accomplish the event in a smooth manner. The activities are planning and organizing workflow, scheduling the works, providing training to the employees, and delegating the staff.
The management of an organization has to plan to complete a work or event in an organization. In this planning phase, the top management of the event Great British Food and Drink Festival has to decide the process of conducting a food event. The management of the event also has to calculate the cost of the event. The management also has to take a decision on which employee does which function in that event. The management of the event has to take the decision on the basis of the past performance of the employee. The management has to decide the workflow of the event also. The workflow will decide the sequence of the work or activities in an event. The employees of the event have to maintain this workflow to accomplish the work. Planning is also important for a group event (Zhang et al., 2018).
Scheduling of work
The management also schedules the work or activities in the event. The schedule of work defines the timing of the activities in an event. By doing scheduling, the management also defines the time limit of a particular activity in the food event. The employees who are responsible to accomplish that activity has to do their work in the time of happening of the activity in the food event. An organization can schedule their task by making a roster in which the name of the activity, the person, or employee who is responsible for the activity, and duration of the activity has to be clearly mentioned. A series of the event also occurs during mobile web computing (Feng & Zhu, 2019)
Providing training
The employees who are engaged in an event have to train by the organization because in order to complete a task effectively and efficiently the employees of an event have to know the task properly. The employees can do the task after knowing and understanding the task or activity completely. The organization that is arranging that event arrange different seminars and workshop to train their employees. The organization also hires an experienced person who can share his or her experience with the employees of the organization which arranged the food festival. An experienced teacher can provide better training (Cinganotto, 2017)
Delegating the employees
The organization who is responsible for arranging the food event has to allocate the works to its employees. The organization can do it by communicating with its employees in the organization about the task which they have to perform in an event. The organization has to provide some authority to the person who is doing any particular job in that food event. The leadership style helps the employees to perform better in an organization (Polić, 2019)
4. Planning and undertaking of the closing sequence of an event
Planning of the closing event
The closing of an event is important for an event because it creates a lasting impression on the participant’s mind. In order to plan the closing sequences of an event, the management has to decide the right place of the clogs-event. The management may choose a place which is well connected with the important regions of a city so that the participants of the closing event find it easy to come. The management also looks after the cost of planning the closing event because in most cases the cost of planning is rising and crosses the actual budget which has made earlier by the organization. The management has to observe the activities which are going on to complete the closing event in an efficient manner. A close observation ensures the compilation of the activity in an event. The management has to make a proper schedule of the events that will be taking place in the closing ceremony of the event. The management has to divide different work to the different employees of the organization.
The undertaking of a closing event
On the day of the closing event, the employees of the management have to ensure that all the arrangements and processes are performing correctly in the closing event. This can be done through proper testing such as sound testing, light testing, and other types of testing. The management also looks after the security of the overall event including the participants of the event and materials or properties which are used in the event (Risør, 2016).
5. Recommendation
In order to reduce the risks which are generated from the identified issues of the event, the management may take certain steps. The management may choose certain places to organize the event and can be discussed with the members of the event who are responsible for organizing that event. The organization that is organizing the event may take the opinion of the participants who have previously participated in different events that are organized by the organization. The organization can suggest the members of the team who is responsible for event planning to use the public vehicle to reduce the project planning cost. The organization can provide food to the event planner because food costs acquiring a significant portion of event planning cost. The organization can give responsibility to a senior member to observe the process or activities of event planning in order to make a proper plan.
Conclusion
The above discussion is about a food event and its challenges and managing an event. From the above discussion, it has come to know that organizations face issues regarding cost elevation of the event planning. It has also come to know that organizations provide training to the employees who are responsible for different activities in an event. Organizations also schedule their different activities of an event.
